Implement and report
When you have submitted your project application to the Swedish Board of Agriculture and received a positive decision from the Leaders board, you can start the work. You can account for your time from the day your application was submitted via My pages on the Swedish Board of Agriculture's website. You can start the project before you have received a formal decision from the Swedish Board of Agriculture (about 3-5 months after the board's decision) but this is done at your own risk.
Since the decision is based on the application with the project plan and budget, deviations from these must be communicated to and approved by the development office. Otherwise, there is a risk that the support cannot be paid out. We help you adjust the project plan if necessary.
We want you to succeed and are with you throughout the implementation. We offer support for applications for payments and are no further away than an email or phone call!
When you conclude the project, it is time to apply for final payment and report. You do this via My pages on www.jordbruksverket.se
Remember to contact us at the office before you submit the application for final payment. We help you and review your documentation and reporting. We do this to reduce the risk of unapproved expenses being reported. Such errors cannot be corrected afterwards and may lead to deductions from the support amount.
Some advice and information along the way
Apply for advance payment
There is an opportunity to apply for advance payment of the support as soon as you have received the formal decision from the Swedish Board of Agriculture – this applies to everyone except municipalities and authorities.
In the decision, you can see how much support you can receive from the Swedish Board of Agriculture, the project support part. It is that amount that forms the basis for what you can receive in advance. You can apply for up to 50% of the project support part in advance, but no more than 250,000 kronor.
Remember to report expenses even for the advance, it is part of your granted support. You report in connection with the application for partial and final payments.

Apply for partial payment
You can apply for partial payment at any time after you have received your support decision and have incurred expenses for the project.
We advise everyone to make an application for payment within two months into the project and then continuously every quarter throughout the project period. This way, it is easier for you to maintain your liquidity. You apply for partial payments via My pages on the Swedish Board of Agriculture's website.
Be careful with the payment proofs
In addition to invoice copies, you also need payment proofs showing that the payments have gone through. A payment proof can be downloaded from the internet bank, often you can click on “Historical payments” or similar. The payment proof should include the following:
- Payment date
- Paid amount
- Sender (which account the money was withdrawn from)
- Recipient (that the payment has gone to the same plusgiro, bankgiro, or account number as stated on the invoice)
- That the payment has been completed. “Immediate payment” is not considered a completed payment.
Avoid deductions
- Read the decision carefully. Follow the conditions, approved project plan, and budget. If you deviate from the project plan and your decision, you risk not receiving the funds you have applied for. Only the expenses stated in the decision are eligible for support.
- Be aware of the project's end date. Your decision states the project's end date, and it is important that you submit the application for final payment so that it has been received by the Swedish Board of Agriculture by this date at the latest. If you apply after your end date, you will receive a deduction from the granted support.
- Be careful with the logos. Ensure that the correct logos are included on all materials. If this is missed, there is a risk of deductions. We can advise you if you are unsure.
- Do not forget to separately account for the project's expenses. To avoid deductions, when applying for payment, you should include a report from the accounting that only contains the expenses related to the project.

Report voluntary time
To facilitate the reporting process, you should write down the voluntary hours continuously throughout the project period. You can account for your time from the day your application was submitted via My pages the Swedish Board of Agriculture's website.
It is fine to create your own Excel file or use the Swedish Board of Agriculture's forms, which can be found on the page for forms and logos. The important thing is to indicate who has done something, when it was done, and what has been done. The lists also need to include contact information, such as phone numbers, for those who have contributed voluntary work.
A summary should be emailed to your contact at the development office during the final reporting.
If things do not go according to your plan
During the implementation of the project, it is important to work according to the project plan and follow the decision on support. Contact us at the Leader office if something occurs that prevents the project from being carried out as intended. Likewise, if more time is needed to implement the initiative or if the financing of the project changes. It is important that this contact occurs before you make any changes; otherwise, there is a risk that the support cannot be paid out. A new decision may need to be made that is adjusted according to the new circumstances.
In case of changes, as communicated and approved by the office, you must submit a form to the Swedish Board of Agriculture.
Final report
Be proactive
Your decision states the project's end date and the application for final payment must have been submitted to the Swedish Board of Agriculture by this date. If you apply too late, you will receive a deduction from the granted support.
If you, for any reason, cannot finalize the project on time, it is important that you apply for an extension. This should be done before the project's original end date. Contact us at the office.
